Workday data move targets email accuracy

HR data is moving directly into everyday communications work streams. Exclaimer’s new Workday integration is designed to reduce manual updates, improve data accuracy, and keep ownership clearer between HR and IT.


The integration allows organisations to use Workday as a data source within the Exclaimer platform alongside directories such as Entra ID and Google Directory. That means employee information including names, job titles, departments, and contact details can flow from HR records into signatures and meeting themes without being recreated in separate systems.

Exclaimer said the problem is widespread. Workday has more than 75 million users under contract globally, yet employee details used in everyday communications often still sit outside the HR system, maintained through IT-managed directories, CSV uploads, and manual workarounds. As organisations grow, the company said, that gap can lead to outdated information appearing in business communications, while also increasing administrative overhead and slowing onboarding.

The company used the launch to underline the operational burden involved. According to its State of Business Email report, 35% of global IT teams rank email signature management among their most time-consuming email tasks, while 80% still rely on manual methods or user self-service. Exclaimer also said 16% of organisations place responsibility for signatures with HR, second only to IT, highlighting a growing overlap between people data and frontline communications. A further 92% of leaders said consistent and well-managed signatures matter for trust and professionalism.

“Workday is where organisations manage their people and Exclaimer is where that data needs to show up,” said Paul Hammond, Chief Product and Technology Officer at Exclaimer. “Until now, there was no direct path between the two, which meant every hire, every promotion, every role change had to be manually reflected across email signatures and meeting branding. That’s a maintenance burden that compounds as organisations grow, and it’s where errors creep in. This integration closes that gap at the source.”

Exclaimer said the integration is available on its Pro plan. Customers can connect Workday and start applying HR-managed employee data to signatures and meeting themes via Exclaimer’s website.
